Publicity Information


A full colour brochure is produced three times a year. Brochures will be available from the theatre foyer, local Tourist Information Centres and local Libraries, and are mailed out to patrons on the Joseph Rowntree Theatre Mailing list. Information printed in the brochure will be taken from the publicity information form. Publication dates and deadlines for information are shown below. The theatre cannot guarantee to include any information that is submitted after the publication deadline or to make any changes to information after this date.

September to December Deadline for information: 31 July, issue date: Late August

December to April Deadline for information: 1 November, issue date: Early December

April to September Deadline for information: 1 March, issue date: Late March

Press Listings

To help you promote your show the theatre will place advertisements listing the next series of shows at the theatre in the local media including the York Press. Information will be taken from the publicity information form.

Foyer Leaflets and Posters

Hirers are asked to provide posters (A1 size) and flyers (A5 or ⅓ A4) to be displayed in the theatre foyer. Please provide publicity material as soon as possible and at least 12 weeks before the first performance. Send publicity material to:

Materials can also be delivered by hand when the theatre is open (10am-2pm Mondays-Saturdays, 6pm-8pm Thursdays, and 6pm-9pm on performance nights).

Flyers/leaflets will be displayed in the holders provided; they will not be handed out. Please contact the Marketing Director if you wish to distribute flyers at other performances.

A1 portrait posters will be displayed in strict chronological order. As the display cases are A1 portrait in size, smaller posters may only be displayed inside the theatre at the discretion of the Theatre Board.

Exterior Poster Display Case

A1 portrait posters provided for the exterior case will be displayed in chronological order. Only A1 posters can be displayed outside; the theatre is unable to display smaller posters in the exterior poster cases.

Posters are updated on the Monday following the previous production except Bank Holidays when they will be replaced on the Tuesday.

The theatre will display one A1 poster listing all the current events throughout the year.

The theatre will remove and dispose of all remaining publicity materials (including A1 posters) after the production end date. Please advise our Marketing Director if you require the return of any publicity materials prior to the end of your hire of the theatre.

Website and Box Office

As part of our booking process you must pay the required deposit and provide the full details of your production before tickets can go on sale. All shows will be displayed on the theatre’s website
Please note that it may take up to 7 days from the point when all details have been received before your show is displayed on our website and tickets are available for sale. If you want to hold ticket sales until a specified date, please make our box office director aware when you complete the box office information form.
